Add a Deduction

If you have a custom deduction that you want to add to Workmax, which is not available in the system by default, you can add it as a custom deduction. Custom deductions can be used to deduct amounts from your employees' payslips in addition to the standard deductions that are available in Workmax.

Manager or Admin Profile

  1. Sign in to your "Workmax" account with a manager or admin account.
  2. Go to the "Payroll" section.
  3. Click on the "Payroll settings" link.
  4. Click on the "Deductions" tab.
  5. Click on the "Add Custom Deduction" button.
  6. Enter the deduction details.
    • Name - Display name for the deduction on payslips.
    • Code - Unique code for the deduction.
    • Calculation - Calculation method for the deduction.
      • Fixed Amount - Deduct a fixed amount from the payslip.
      • Percentage - Deduct a percentage of the payslip amount.
    • Amount - If you selected the "Fixed Amount" calculation method, enter the fixed amount to deduct.
    • Yes/No - If the deduction is a salary sacrifice. Salary sacrifice deductions are taken from the employee's gross pay before any other deductions.
    • Yes/No - If the deduction is calculated cumulatively. Cumulative deductions are calculated based on the total amount of the deduction from previous payslips in the current tax year.
    • Yes/No - If the deduction is calculated with bands. Deductions with bands are calculated based on the employee's earnings within specific bands.
    • Yes/No -If you want to supply band values for the deduction.
    • Order - Order in which the deduction should appear on payslips.
  7. Select deductions which should apply before your custom deduction (if any).
  8. Enter the band values for the deduction (if applicable).
    1. Click on the "New band" button".
    2. Enter the band details.
      • Name - Display name for the band.
      • Code - Unique code for the band.
      • Rate - Rate for the band.
      • Max earnings - Maximum earnings for the band.
      • Max deduction - Maximum deduction for the band.
      • Min earnings - Minimum earnings for the band.
      • Max earnings - Maximum earnings for the band.
    3. Repeat the process for each band.
  9. Enter rounding preferences for the deduction.
    • Pay period conversion - Select the pay period conversion rounding method for the deduction.
      • Down - Round down to the nearest whole number.
      • Up - Round up to the nearest whole number.
      • Fixed Down - Round down to the nearest whole number with a fixed decimal place.
      • Fixed Up - Round up to the nearest whole number with a fixed decimal place.
      • None - Do not round the deduction.
      • Round - Round the deduction to the nearest whole number using standard rounding rules.
      • Two Decimal Place Half Down - Round the deduction to two decimal places using half-down rounding. 0.5 is rounded down.
      • Two Decimal Place Half Up - Round the deduction to two decimal places using half-up rounding. 0.5 is rounded up.
    • Cumulative conversions - Select the cumulative conversion rounding method for the deduction.
      • Down - Round down to the nearest whole number.
      • Up - Round up to the nearest whole number.
      • Fixed Down - Round down to the nearest whole number with a fixed decimal place.
      • Fixed Up - Round up to the nearest whole number with a fixed decimal place.
      • None - Do not round the deduction.
      • Round - Round the deduction to the nearest whole number using standard rounding rules.
      • Two Decimal Place Half Down - Round the deduction to two decimal places using half-down rounding. 0.5 is rounded down.
      • Two Decimal Place Half Up - Round the deduction to two decimal places using half-up rounding. 0.5 is rounded up.
    • Band conversions - Select the band conversion rounding method for the deduction.
      • Down - Round down to the nearest whole number.
      • Up - Round up to the nearest whole number.
      • Fixed Down - Round down to the nearest whole number with a fixed decimal place.
      • Fixed Up - Round up to the nearest whole number with a fixed decimal place.
      • None - Do not round the deduction.
      • Round - Round the deduction to the nearest whole number using standard rounding rules.
      • Two Decimal Place Half Down - Round the deduction to two decimal places using half-down rounding. 0.5 is rounded down.
      • Two Decimal Place Half Up - Round the deduction to two decimal places using half-up rounding. 0.5 is rounded up.
    • Deduction rate calculations - Select the deduction rate calculation rounding method for the deduction.
      • Down - Round down to the nearest whole number.
      • Up - Round up to the nearest whole number.
      • Fixed Down - Round down to the nearest whole number with a fixed decimal place.
      • Fixed Up - Round up to the nearest whole number with a fixed decimal place.
      • None - Do not round the deduction.
      • Round - Round the deduction to the nearest whole number using standard rounding rules.
      • Two Decimal Place Half Down - Round the deduction to two decimal places using half-down rounding. 0.5 is rounded down.
      • Two Decimal Place Half Up - Round the deduction to two decimal places using half-up rounding. 0.5 is rounded up.
  10. Review the deduction details.
  11. Click on the "Save" button.

Workmax will now create the custom deduction, and you can view it in the deductions list. If you have any questions or need help, please contact Workmax Support.
