Auto Schedule a Rota
Auto schedule helps you fill a rota automatically. Workmax looks at your linked clients and their care plan visits for the date range, along with any unassigned shifts, then matches suitable workers based on availability, leave, overlaps, hours limits and required skills — ranking people by travel, weekly hours and continuity of care.
Auto Schedule a Rota
To auto schedule a rota, follow these steps:
- Sign in to your "Workmax" account with a manager or admin account.
- Go to the "Time and Attendance" section and open your rota.
- Click on the "Auto schedule" button.
- Set the Start date and End date for the period you want to schedule.
- Review the results, which include a schedule confidence score and counts for Assigned, Need attention and Unfilled. Use the "All", "Issues only" and "Unfilled only" filters to focus your review, and check:
- Blocked assignments — rule blockers that need review.
- Needs attention — setup or review items.
- Skipped visits — care-plan setup that is preventing scheduling.
- Unfilled draft shifts — visits that couldn't be matched to a worker.
- Click on the "Preview" button to see the draft without saving, or "Create drafts" to generate the matched assignments.
Auto schedule creates draft shifts for you to review before publishing. When you are happy, publish the rota to notify employees. If you have any questions or need help, please contact Workmax Support.
