Set up Care Visits

For care providers, a single shift can be broken into individual client visits (also called shift locations or stops). Each visit is a stop on the carer's route, linked to a client and their care plan, so the right tasks, risks and confirmation rules travel with the visit. This supports multi-location electronic visit verification (EVV).

Set up Care Visits on a Shift

To set up care visits, follow these steps:

  1. Sign in to your "Workmax" account with a manager or admin account.
  2. Go to the "Time and Attendance" section and open your rota.
  3. Add or edit a shift.
  4. Turn on "Enable Multi-Location (EVV)", then click on the "Manage Locations" link to open the route builder.
  5. Add each visit using the "Add location" button (or use "Add multiple clients" and "Add selected clients" to add several at once). For each visit, set:
    • Client — the service user this visit is for.
    • Care plan — defaults from the client; tasks are generated from the selected plan. The matched visit and its tasks (including any marked Mandatory) are shown.
    • Arrival and Departure times (the duration is calculated for you).
    • Address — street address, city and post code.
    • Advanced options — geofence radius, Require location verification, and notes.
  6. Use "Auto-fill schedule" to calculate arrival/departure times and travel between stops.
  7. Review the route overview (planned visits, travel, mileage and totals), then save the shift.

Each visit carries a snapshot of the care plan and confirmation rules, so carers see the right care brief before they start. Once visits have been delivered, you can review clock-in verification, care task outcomes and any visit exceptions on the shift. If you have any questions or need help, please contact Workmax Support.
